Who we are

What we collect

Contact form

The contact form collects your name, email, optional phone number, and message. Submissions are delivered through Web3Forms (web3forms.com) to our email. See web3forms.com/privacy-policy.

Care Plan funnel

The Care Plan tool at /plan walks you through a series of questions and uses your answers to generate a personalized detailing plan. It collects:

• Your vehicle year, make, and model
• Where the vehicle is parked (garage, driveway, street, etc.)
• How often you drive it
• Environmental conditions (kids, pets, dirt roads, pine trees, sun exposure)
• Current paint condition and when the vehicle was last detailed
• Your top priority (keep it new, prep for resale, save time, specific event)
• Your name, email, phone, and ZIP code so we can send the plan and follow up
• Browser metadata: user agent and referrer (truncated to 200 characters), and how long the funnel took to complete — used for spam detection and to improve the funnel

Funnel submissions are sent to our workflow automation (n8n), which writes the answers to Airtable (our customer database), sends them through Anthropic’s Claude model to draft the personalized plan, delivers the plan to you by email via Resend, and texts a notification to Talmage Handley via Twilio.

No analytics or ad pixels

We do not run Google Analytics, Meta Pixel, TikTok Pixel, LinkedIn Insight, or any ad-retargeting tag. The only third-party load on a normal page is Google Fonts, which lets Google see your IP address and standard browser headers when fonts are fetched.

Hosting logs

The site is hosted on Cloudflare. Cloudflare records standard request metadata (IP, user agent, path, timestamp) for security, DDoS protection, and abuse prevention. We don’t keep a separate access log.

How we use it

• Reply to contact form messages and Care Plan requests.
• Generate and email your personalized Care Plan.
• Schedule and run the detailing service you book.
• Send appointment confirmations, reminders, and follow-ups (by email or text).
• Detect bots and spam on the forms.
• Improve the funnel and the AI plan-drafting prompt over time.

Who we share it with

We do not sell, rent, or trade your personal information. We share it only with the service providers that operate the site and the Care Plan workflow:

• Cloudflare — site hosting (cloudflare.com/privacypolicy)
• Web3Forms — contact form delivery (web3forms.com/privacy-policy)
• n8n Cloud— workflow automation that processes Care Plan submissions
• Airtable — our customer database where Care Plan answers are stored (airtable.com/privacy)
• Anthropic — the Claude AI model that drafts the personalized plan from your answers (anthropic.com/legal/privacy). Anthropic does not train on API traffic by default.
• Resend — transactional email delivery (resend.com/legal/privacy-policy)
• Twilio — SMS notifications to Talmage Handley when a new lead comes in (twilio.com/legal/privacy)
• Google Fonts — serves the display fonts (policies.google.com/privacy)

We may disclose information when required by law, to enforce our agreements, or to protect the rights, property, or safety of Wild West Details LLC, our customers, or others.

Texting and email

If you give us your phone number through the Care Plan funnel or the contact form, you’re consenting to receive service-related texts and calls from us about your detail (for example: confirmations, arrival times, weather-related reschedules, post-service follow-up). Standard message and data rates apply. Reply STOP to opt out of texts at any time. You can opt out of marketing emails through the unsubscribe link in any marketing email we send.

Cookies and storage

We don’t set tracking cookies. The Care Plan funnel may keep a small amount of state in your browser’s session storage so you can return to the same step if you refresh the page; it clears when you close the tab.

Retention

Customer records in Airtable are retained as long as the relationship is active and afterward for ordinary business record-keeping. Care Plan submissions that don’t convert to a customer relationship are retained for up to 24 months. Hosting and email-delivery logs follow each provider’s standard retention. You can ask us to delete your records at any time.

Your rights

You can ask us to confirm what personal information we hold, correct it, or delete it. Email [email protected]and we will respond within a reasonable time. If you live in California, the EU, or the UK, the CCPA, GDPR, or UK GDPR give you additional rights and the ability to file a complaint with your local data protection authority. We do not “sell” or “share” personal information for cross-context behavioral advertising as those terms are defined by the CCPA.

Children

The site is intended for vehicle owners 18 and older. We do not knowingly collect information from children under 16. If you believe a child has submitted information through the site, contact us and we’ll delete it.

Changes

We may update this policy as the site evolves. The effective date at the top will change when we do.
